Reports to: Vice President of Human Resources and supports Human Resources Department

Summary

Manages calendars and schedules appointments and interviews for Vice President of Human Resources and Human Resources department; manages email; answers incoming calls and correspondence; prepares Power Point presentations; types written correspondence; responds to routine internal and external correspondence; assists in preparing confidential correspondence, reports, business materials; coordinates meetings, travel, trainings and conference calls; handles departmental supply ordering, faxing, copying, invoice coordination, filing and administrative requests.

Essential Duties and Responsibilities

  • Manages calendars and schedules appointments for Vice President of Human Resources and Human Resource department
  • Manages email, screens incoming calls and correspondence. Responds independently when possible
  • Prepares Power point presentations
  • Types written correspondence
  • Responds to routine external correspondence
  • Types memos, purchase requisitions, check requests and other department forms and documents
  • Maintains miscellaneous meeting minutes when requested
  • Assists with special projects as assigned
  • Assists in preparing confidential correspondence, reports, business materials, corporate documents and other complex documents
  • Coordinates meetings and conference calls; arranges venue, food and beverage, travel, A/V requirements, issues invitations, agendas and meeting materials to participants. Follows up on meetings to ensure complete arrangements.
  • Arranges travel plans and itineraries, compiles documents for travel-related meetings for domestic and international travel
  • Checks all travel itineraries coming from travel agency for accuracy. Goes over details with VP prior to travel, handles all changes and travel issues
  • Prepares travel expense reimbursement reports
  • Handles supply ordering, faxing, copying, filing and administrative requests for designated VP and department

Education and/or Experience

  • Education: High school diploma, Secretarial school or diploma desired
  • Some college preferred
  • Skills & Qualifications: 5 years minimum senior administrative assistant experience
  • Must be dependable and possess professional demeanor
  • Must be highly competent in Microsoft Office Suite
  • Must be able to work in fast-paced environment, handle multiple projects and changing priorities.
  • Ability to handle situations with confidentiality
  • Requires excellent interpersonal skills
